Incoming guest

Rules and procedures on receiving a guest from abroad

In order to receive a guest from abroad an employee should submit a request to the International Cooperation Office (signed by the administrator of financial resources and the director of the institute / head of the department and the dean of the faculty) at least 14 days ahead of arrival.

For guests requiring visa it is necessary to submit the documents in advance in order to prepare an invitation. The application for receiving a guest must be provided in paper and electronically with the information necessary to prepare the invitation, i.e. a scan of the passport or name and surname, date and place of birth, address, passport series and number, date of issue and expiry of the passport.  If the guest is received as part of a academic exchange carried out under a bilateral agreement, this fact should be clearly stated as a main reason of the visit. A permission for the reception of the guest is issued by the Vice-Rector for Science and International Cooperation. The host at UZ is responsible for organizing the guest's stay at the UZ.

The person responsible for guest’s arrival is entitled to collect the benefits on their behalf. In this case, an application should include detailed information about person responsible for a guest and specify payment method. The person responsible is obliged to provide a confirmation of the receipt of money to the International Cooperation Office, signed both by the guest and themselves. A substantive report on the reception of the guest should be prepared in the receiving unit.
